  • • Answering incoming calls; taking messages and re-directing calls as required • Dealing with email enquiries • Writing emails and client correspondence in simple, error-free English • Scouts for suitable tenders online and downloads them and ensures all forms are completed and submitted way before closing dates • Diary management and arranging appointments • Data entry, such as freelancers, sales figures, suppliers, etc. • General office management such as ordering stationary • Organising travel and accommodation for staff and customers • Providing administration support to clients, freelancers, and management • Communicates with freelancers, clients and suppliers on behalf of management and ensures that payments are received and paid out to relevant parties and keeps them abreast of goings-on • Assists in planning and arranging events, including organising catering • Handles expenses and billing cycles • Manages reception area and looks after visitors • Drafts, formats, and prints relevant documents such as tender documents • Maintains stock lists and orders office supplies as needed • Manages staff expense requests • Creates agendas and takes meeting notes • Assists in purchase orders and invoicing • Manages outgoing post and records data on special deliveries • Photocopies and files appropriate documents as needed.
